Job Title: Executive Assistant
Location: Los Angeles, CA
Description of Position: Little Empire Music is seeking an Executive Assistant that is highly visible and is in regular contact with internal and external senior executives. Applicants should have minimum 2 years experience working in the music industry at a management company or agency, along with a profound passion for music and the business surrounding it.
Responsibilities include but are not limited to:
– Serve as first point of contact for the Executive
– Maintain up-to-date awareness of the Executive’s obligations in order to proactively assist and/or anticipate needs
– Answer all incoming calls for executive; take and log messages as needed; ensure that messages are accurate and delivered in a timely fashion
– Maintain appointment schedule; planning, updates, and notifications as necessary
– Arrange all travel plans, including car services and occasional coordination of group travel
– Manage incoming mail and complete correspondence
– Process expense reports, ensuring compliance with company policy
– Process invoices for payment; resolve payment issues
– Create and maintain effective filing system
– Maintain database of Executive contacts
– Ensure departmental resources are aligned to achieve quality, efficiency, and timeliness of results in alignment with vision and goals of LEM
– Schedule appointments, conference calls and meetings
– Compose letters, memorandums, presentation materials, etc from verbal direction or from knowledge of organization policy and procedures in an accurate and efficient fashion
– Set up and maintain files that may contain confidential information
– Performs other related duties as assigned, including some personal requests
– Assist with artist itineraries and show advances
